DEPARTMENT OF IMMUNOLOGY/MICROBIOLOGY

GENERAL SUMMARY:

Under direct supervision, performs advanced secretarial and clerical functions; handles a variety of minor office management details involving independence of action. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

PRIMARY DUTIES INCLUDE:

Supports the department Chairman by performing duties that include:

* Typing complex reports, formal manuscripts, grants, abstracts, tables, lecture outlines and general correspondence with speed and accuracy. Compose and type routine letters and reply to communications via letter and/or via email.. Prepare slides for Power Point presentation.

* Make travel arrangements for Chairman (domestic and international) and prepare travel advance and expense reports and arrange meetings (domestic and international). Help maintain Lotus Notes Calendar for Chairman that includes scheduling meetings, reserving rooms, and other responsibilities needed for completion of tasks related to meetings, conferences, lectures, etc. Schedule conference calls, both domestic and international for Chairman.Read emails for Chairman and respond accordingly.

* Maintain on-line department calendar including posting all research seminars, dissertations and other general departmental presentations.

* Type course material for all teaching programs offered by the Department. This includes typing new text and tables for syllabi, revising existing lecture material, reproducing graphic images and drawings, typing quizzes and examinations.
* Take and transcribe minutes for all departmental, DAC and GAC meetings.

Knowledge, Skills and Abilities:

1. An Associate Degree is preferred with at least two years secretarial experience desired.
2. Type 75-85 wpm with accuracy.
3. Must be proficient in Microsoft Word and have knowledge of other software programs such as Excel and
Power Point. Knowledge of additional programs a plus.
4. Excellent organization skills required; interpersonal skills necessary to work with a diverse group of people
5. Must be self-motivated, must be able to use time and resources effectively, and must be able to make and implement plans.
6. Must be able to work independently, make decisions and follow assignments through to completion.
7. Must be multi-task oriented and have the ability to work under pressure.
