Neurology

Administrative Assistant to the Section of Movement Disorders. Strong computer, organizational, and interpersonal skills required. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Principal Duties and Responsibilities:
1. Responsible for transcription of administrative correspondence from handwritten or dictation machine recordings, including confidential patient letters and medical reports, curriculum vitae and other documents for the Section of Movement Disorders. Also performs general administrative support duties for the Movement Disorder practice (including: general faxing, copying of documentation/correspondence, distribution of mail, library searches).
2. Provide general secretarial support (copying, faxing, etc) to the Section of Movement Disorders.
3. Assistant to Clinic Nurse. Assists with drug-preauthorizations, faxing prescription/prescription refills to/from pharmacies and patients as directed by Clinic Nurse.
4. Responsible for data entry of Clinic forms in the Movement Disorder practice. Enters data into central database and reports to Data Manager. Routes forms with missing data back to Movement Disorder physicians and coordinates entry of missing data.
5. Responsible for videotaping all patients seen by the Movement Disorder Group, follow-up videotapes as needed. Responsible for coordination of bi-weekly video review sessions. Responsible for entry of information into the video database Organizes and maintains the storage of videotapes..
6. Responsible for conference room coordination. Assists with reserving main conference room, logs conference date/times on the shared conference room schedule, checks schedule daily and ensures proper room set-up for the day.
7. Serve as primary contact for office equipment trouble-shooting. Coordinates service-calls for all copy machines, faxes and other equipment. Ensures supplies (toner, ink cartridges, etc) for office equipment are ordered and stocked.

Knowledge, Skills and Abilities:
Each requirement must be a Bona Fide Occupational Qualification (BFOQ). In other words, required credentials must be legitimate: related to duties and neither overstated nor understated.

Knowledge: 3-5 years of relevant experience required, medical terminology knowledge essential
Skills: Strong computer skills, excellent organizational skills, and outstanding verbal and written skills, including medical terminology.
Abilities: Ability to work both independently and as a team player in an effective and efficient manner. Ability to interact with a wide variety of people (including: faculty, staff and patients). Understands the need for and maintains confidentiality in all matters and exhibits compassion and respect.
