General Summary: Under the general supervision of the Office Manager, provides responsible and complex administrative skills and knowledge in a fast-paced area. This person must demonstrate excellent organization skills and a "can-do" attitude. The ability to work with a varied workload and diverse staff is a must. This person must exemplify the Rush mission, vision and values and act in accordance with Rush policies and procedures. This person must be able to understand and relate to the goals of the department, as well as, assist in the achievement of these goals as an individual and as a group member.
Principal Duties and Responsibilities include:
Perform Administrative Assistant functions for the department, which includes developing memorandums, letters, academic documents, invitations, flyers and other correspondence. Proficient editing and proofing.
Schedule meetings and reserve rooms for ongoing and other departmental affairs; coordinate with other hospital/academic secretarial staff; handle VP/AVP electronic calendars as directed; assist and support staff as the need arise.
Create, prepare and distribute reports and correspondence for various department members.
Coordinate/process the department and staff expenses, check requests and travel reimbursements.
Complete registration for seminars and conferences; luncheon reservations; hotel reservations and general travel arrangements; follow-up on session inquiries/requests.
Manages aspects of the department's budget and related budget reports.
Assume independent responsibility/assist with special projects, including those technologically based.
Accurately and precisely maintain the integrity of project files, computer files and database programs.
Carry out department procedures, implement processes, and generate ideas to improve the quality of the process, as well as, engage in problem solving techniques.
Understand and complies with activities and operations of the Department governed by policies and procedures.
Coordinate maintenance requests, supplies requests and ensures orders are processed and completed.
All other duties as assigned.
Qualifications: Minimum three years administrative assistant experience, knowledge of construction administration a plus; two years of college education required. The ability to work well with others, be flexible and have outstanding communication skills, which includes correct usage of grammar and punctuation are necessary; knowledge of Microsoft Suites and familiarity with standard office equipment a must.
Skills: Must demonstrate good team-building skills to work with a fast-pace team. This position demands a high level of professionalism, both verbal and written communication is required to interact with vendors and staff; must be able to remain courteous and professional at all times. Must have excellent computer skills/knowledge to complete word processing tasks and be proficient in editing and proofreading.
Abilities: Can successfully complete above tasks with high degree of competency, accuracy and professionalism on a routine day-to-day basis. Displays excellent interpersonal and communication abilities; talents include ability to manage multiple projects.
